Request the free one-page front-desk SOP
ClinicOffice publishes operational playbooks for medical front desks. The conversion offer is simple and real: a one-page standard operating procedure you can laminate at the window—not a software login, not a managed service, and not a promise of revenue results.
What’s in the SOP
One page, three blocks:
- Eligibility script — day-before / day-of checks, what to capture from the response, when to call the patient before they arrive. Deep dive: Eligibility and benefits playbook.
- Copay / POS collection script — word-for-word lobby language, prior-balance ask, refusal path. Deep dive: Point-of-service collection scripts.
- COB intake checklist — secondary coverage, accident/injury flags, MSP awareness. Deep dive: Intake that prevents COB denials.
Related playbooks you may also want open in a tab:
Who it’s for
- Practice managers and office leads in outpatient clinics
- Solo and small-group physician owners who still touch the schedule
- Front-desk leads building a training binder for new hires
If you run a large hospital access department, the same principles apply, but your forms and systems will be heavier than this one-pager.
How you get it
Use the form below (or on the homepage). Include:
- Your name and work email
- Practice name and approximate specialty
- Anything you especially want emphasized (e.g., behavioral health, Medicare-heavy panel)
We send the one-page SOP by email on request. No purchase required.
What we do—and don’t do
| We do | We don’t |
|---|---|
| Publish free educational playbooks on clinicoffice.net | Claim to manage your front desk or RCM |
| Email a one-page SOP when you ask | Require PHI to send the SOP—do not put patient data in the form |
| Point to CMS, X12, OIG, and related public sources in our articles | Sell a front-desk software product on this domain |
| Operate as content from AdvancedCare USA Inc. | Invent client counts, case studies, or guaranteed denial reductions |
Start with the public playbooks
Everything in the SOP is expanded on the open web:
| Playbook | URL |
|---|---|
| Eligibility & benefits | /eligibility-and-benefits-playbook |
| POS collection scripts | /point-of-service-collection-scripts |
| Intake / COB | /intake-that-prevents-cob |
| No-shows | /no-show-recovery-system |
| Prior auth | /prior-auth-workflow |
| Blog | /blog/ |
How teams usually use the one-pager
- Laminate at the window — one sheet, not a binder nobody opens.
- Train new hires in the first week — role-play eligibility call-backs and copay asks.
- Audit monthly — pick five random charts and check: eligibility documented, copay collected or refusal noted, secondary insurance asked.
- Link out for depth — when a topic needs more than a bullet, open the matching playbook on this site rather than rewriting policy in email threads.
The SOP is deliberately short. If your compliance team needs longer controlled documents (full financial policy, Red Flags Rule, HIPAA Notice of Privacy Practices), those stay in your official manual. This page is the desk version of three workflows that prevent the most common registration-side denials.
What to expect after you submit the form
- A human on our side routes the request (this is not an automated product download gate).
- You receive the one-page SOP by email for internal training use.
- You may get a short follow-up asking specialty or EHR only so we send the right emphasis—never patient data.
- There is no obligation to buy anything. ClinicOffice does not sell front-desk software on this domain.
Honest limits
Operational playbooks cannot replace payer manuals, state law, or your counsel. CARC labels and CMS rules change; when you train from our articles, re-check the linked primary source if you are writing something contractual. We cite sources with “as of” dates for that reason.
If you only need one link to share with your office manager, send them here: /front-desk-sop. If they want the long form first, start with Eligibility, then POS scripts, then COB intake.
